MSI Nigeria Reproductive Choices is part of Marie Stopes International’s Global Partnership which is in over 37 countries worldwide and it operates in Nigeria through six service delivery channels.

We are recruiting to fill the following positions below:

1.) Centre Admin & Operations Officer

Job Location: Abuja (FCT)
Employment Type: Full Time

Objectives
  • This position reports to the Centre Manager in each of the 6 locations where MSI Nigeria Reproductive Choices centers exist.
  • The role requires supervisory oversight and coordination of external center operations.
  • This includes the supervision of the front desk Client Service Executive (CSE) and Infection Prevention Officer (IPO).
  • Working in consultation with the line manager, manage all local HR issues, including engagement and scheduling of locums.
  • S/he will lead the drive for an incremental client base and expand the geographic span of “patients-pull” to MSI Nigeria Reproductive Choices centers with evident growth in client visits.
  • This will include general field marketing activities, management of canvassers, and engagement of corporate organizations. S/he will have administrative oversight on key internal operations.
  • S/he will lead engagement with cross-functional partners, healthcare providers, and associations to build an expanded referral network for centers, interface with internal and external stakeholders to seal all deals that generate income, and social impact, and support the profitability and sustainability of the centers. Other roles include support in the design & and implementation of effective youth intervention strategy, procurement, stock management, asset management, admin, and HR.
Duties and Responsibilities

Develop strategies and execute action plans to drive client visits and sustainability for MSI centers, including necessary center market surveys:

  • Develop and execute marketing strategy/initiatives/campaigns tailored to MSI Nigeria Reproductive Choices centers to successfully sell services that will increase client visits, generate incremental revenue, and maintain existing customer relationships and revisit.
  • Develop and execute monthly digital marketing plans, monitor, review, and report on each marketing activity, analyze center posts for client engagement insights and results, and share weekly performance reports with line managers.
  • Work with the digital marketing team to develop and deploy center blog posts, videos, email marketing, and website updates and development.
  • Identify and work with champions in tertiary institutions and youth clubs to champion visibility for MSI Nigeria products and services in and around identified tertiary institutions while referring clients to MSI Nigeria Reproductive Choices centers.
  • Work with the MSI marketing team and interact with customers and potential clients to understand the market requirements at an individual hospital level.
  • Interact with customers and potential clients to understand who they are, what their healthcare requirements are, and how to connect with the target markets.
  • Advise the marketing/management team on strategic locations/spots to conduct center-focused outreaches, and engagement of canvassers, including planning and executing this strategy.
  • Set up and managed youth referral linkages for PAC in MSI Nigeria Reproductive Choices Centre via identified influencers and referral points while coordinating activities of canvassers.
Support the proper functioning of the Client Services Executive (CSE) for client-centered care provision and the activities of the Infection Prevention Officer (IPO):
  • Lead implementation of client cantered care by all centre team members including accommodating clients’ special needs such as flexibility of working hours
  • Ensure that strict client privacy and confidentiality are maintained by all team members.
  • Monitor monthly client numbers and income generated and in collaboration with the center team make appropriate recommendations to meet income-to-cost targets.
  • Ensure the CSE manages the front desk to promote and maintain a welcoming, friendly, professional, and efficient atmosphere to ensure client satisfaction.
  • Support and oversee administrative and financial responsibilities (record keeping and petty cash management) in the center.
  • Ensure adequate inventory and stock management for the center while keeping records using the approved formats to ensure tidy medical records and registers.
  • Supervise the centre IPO to ensure duties are executed properly and timely, and overall neatness and cleanliness of the entire office premises and surroundings.
Administrative responsibility for the centre including facility management, inventory and procurement request management, assets and stocks management and human resources:
  • Liaise with the Procurement unit to manage the procurement process by maintaining the vendor list while treating all Procurement Request Forms (PRF) in the center by sending out requests for quotes to vendors on the vendor list, evaluating quotations, organizing Procurement Committee (PC) meeting when required and issuance of PO.
  • Inventory and stock management through maintenance of accurate records of stock movement in and out of the warehouse, including posting & and documentation of all goods receipt and stock consumption as it happens daily.
  • Synchronizing all inventory postings at the regional office with the Support Office central store database weekly, including carrying out weekly cycle count to determine critical stock consumption rates and interpreting same into the following reports: Critical Stock Report, and CPFR (Collaborative Planning, Forecast & Replenishment) Report
  • Prompt treatment of all material requisitions and issuing of stock items to user departments, center outreach teams, and field officers daily
  • Asset Management through assets register update and maintenance of record of assets movement and acquisition.
  • Human resources management for the center, including locum scheduling and management, creating files for team members as appropriate while ensuring timely submission of timesheets and getting necessary work tools for center team members.
Others:
  • Undertake other duties as reasonably requested by the line manager and/or management.
  • Willingness to travel within and outside the country as may be required.
Required Qualifications
  • A Bachelor’s Degree in Marketing / Administration / Public Relations, or any other related discipline
  • At least 3 years of working experience in healthcare Marketing, Administration, Sales, and other similar fields.
  • Ability to multi-task effectively in a fast-paced environment
  • Excellent oral and written communication skills necessary to produce proposals, reports, analyses, and presentations.

2.) Finance Manager – Operations at MSI Nigeria Reproductive Choices

Job Location: Abuja (FCT)

Objectives
  • He/she Operations plays a crucial role in ensuring sound financial management and controls across MSI Nigeria Reproductive Choices’ service delivery channels.
  • This role involves conducting supportive supervision visits, contributing to financial reports, analyzing data for decision-making, and managing payroll processes.
  • He/she coordinates closely with procurement and logistics teams, oversees stock management, and ensures compliance with financial procedures and policies.
  • With strong leadership skills, attention to detail, and the ability to multitask, the Finance Manager supports the Finance Director in achieving financial goals and maintaining integrity. Ethical conduct, resilience, and proactive decision-making are key attributes for success in this role.
Key Objectives
  • Ensure sound financial controls in all MSI Nigeria Reproductive Choices service delivery Channels, while supervising the month-end processes
  • Quarterly supportive supervision visits to each regional office and ensure all controls are in place.
  • Contribute to monthly management and periodic statutory accounts as well as reports.
  • Undertake all areas of responsibility in a professional manner and in a way that enhances the reputation of MSI Nigeria Reproductive Choices.
  • Manage the organization’s payroll processes including statutory deductions and remittances, and ensure allocation to all projects as per Level of Effort
  • Provide support during project audits and statutory audits.
  • Advise the Finance Director in the upgradation of financial procedures and policies as and when required on a timely basis.
  • Provide in-depth analysis of monthly report that supports the Finance Director in strategic decision-making.
  • Ensure monthly bank reconciliation of all country bank accounts on a regular basis.
  • Ensure a proper Transaction Filing System is maintained for all financial activities in support offices and field offices
Additionally
  • Work as closely with members of the procurement committee as instructed by the Finance Director and ensure all procurement is being done as per organization policies and procedures.
  • Ensure the correct coding with close coordination with all finance officers, project managers and regional managers. Review the transactions in SUN regular basis for correct charging and allocation to relevant codes.
  • Participate in monthly Management Report Meetings, and balance sheet reviews of prepayments, account receivables and payables, and ensure all action points MUST completed within stipulated time frame.
  • Active participation in annual BP process and quarterly forecasting development process. Provide timely support in this regard to FD to meet the tough deadlines.
  • Monitor all staff debt monthly with measures in place to ensure timely liquidation of expenses.
  • Continuously build the capacities of the finance team members by implementing effective performance management system. Develop KPIs and follow up mechanism to ensure timely and efficient implementation.
  • Any other duties requested by the Finance Director or other Senior Management Team members. The JD’s can be adjusted according to need of the department and organization as per changes in departmental structure.
Required Qualifications, Experience & Skills
  • A Bachelor’s Degree with a minimum of 2nd class Upper-division, and recognized professional qualifications such as ACA, ACCA, etc.
  • 5 – 7 years of post-NYSC experience in a similar role with an NGO / INGO
  • Working knowledge of different donors USAID, ECHO DFID etc.
  • Ability to use SUNSYSTEMS Accounting package and it is adding Q&A and other accounting packages.
  • Advance Excel skills preferred.
  • Ability to multitask, manage a workload and produce high quality, on-time work.
  • Good team player and flexible while working with other colleagues.

3.) Inventory & Asset Management Manager at MSI Nigeria Reproductive Choices

Job Location: Abuja (FCT)

Job Overview
  • The inventory & Asset Management Manager oversees team of inventory or warehouse staff and manages inventory tracking system to record deliveries, shipments, and stock levels.
  • He/she is responsible for filling out orders, verifying the accuracy of orders, and maintaining inventory by ordering, receiving, and allocating orders and requests across different channel of MSI Nigeria service delivery.
  • He/she is also required to prepare reports and correspondences and maintain files and records including general inventory and record-keeping functions.
  • He/she will manage asset management and disposition of inactive and obsolete assets by tracking inventory, costs, movement, and disposition.
  • Working with other MSI Nigeria departments/units, he/she evaluates deliveries, shipments, and product levels to improve inventory control procedures while analyzing daily stock, equipment, and supply levels to anticipate inventory problems and shortages through accurate forecasting as necessary.
  • The role holder will implement improvement processes and systems to reduce inventory, minimize costs, and maximize working capital including writing and maintaining accurate written procedures for all main inventory control processes and functions. It is expected that the role holder will perform cyclic stock checks (stock count) by ensuring the integrity and accuracy of the stock management system.
Objectives

Inventory and Store Management:

  • Develop & implement inventory management policies & procedures.
  • Design and implement an inventory tracking system to optimize inventory control procedures.
  • Monitor & manage inventory levels to optimize stock levels & minimize waste.
  • Carry out routine stock checks & audits to ensure accuracy & maintain appropriate stock levels.
  • Performs activities to monitor and maintain inventory control of stores or materials. Evaluate inventory levels, reorder quantity, etc., and notify admin/technical staff when reorders are necessary. May perform or supervise receiving, stocking, distributing, and packing in addition to inventory control. Maintains inventory records and prepares reports.
  • Documents incoming and outgoing materials supplies (logistic supplies, IT Equipment, Furniture, vehicle spares etch)
  • Receives requisitions and reviews for proper codes and approval signatures. Stocks delivered items and checked shelves for appropriate inventory levels.
  • Manages asset management and disposition of inactive and obsolete assets by tracking inventory, costs, movement, and disposition.
Forecasting:
  • Forecast demand & ensure adequate stock levels are always maintained.
  • Analyse Consumption trends to ensure optimal inventory levels & timely ordering of goods.
  • Examine the levels of supplies and equipment in the store to determine shortages.
  • Perform daily analysis to predict potential inventory problems.
  • Coordinate with field admin staff to ensure efficient inventory & asset management at the regional level.
Reporting and General Inventory Analysis:
  • Compute monthly stock consumption from the teams and ensure correct posting to respective donors.
  • Triangulate between the stock consumption, CYP, and Service Income.
  • Control and enter all new logistics supplies, IT equipment, Furniture, Vehicle supplies etc. from the purchase receipt and/or purchase order.
  • Submit monthly, Inventory position for all locations and warning for low stock levels.
  • Create and regularly update the database to manage all non-consumable project inventory.
  • Keep track of the location of all equipment and furniture for the project. This includes movement between offices by updating the database
  • Complete the UNFPA donated stocks report and submit as per agreed deadlines.
Asset Management, Reporting and Analysis:
  • Review & analyze inventory data to ensure accuracy & completeness.
  • Develop & manage inventory reports that will be presented to management.
  • Prepare detailed reports on inventory operations, stock levels, and adjustments.
  • Verify inventory by physical stock on a bi-annual basis.
  • Coordinate physical count, investigate issues of a discrepancy, identify root causes, proffer solutions to eliminate re-occurrence, and report results accordingly.
  • Develops asset management plans for all assets, assessing the need for renewals, new purchases, or disposals.
  • Perform expense management for asset disposals (forecasts, bids, schedules, etc.) and maintain asset disposal records.
  • Manages lease and disposals for assets, including the transition of assets between contractors and service providers.
  • Make recommendations regarding asset disposition and disposal procedures to senior management.
  • Responsible for maintenance and disposition of assets, including leasehold interest, insurance, encumbrances, titling, advertising, and disposal.
  • Reviews contracts, if necessary
Leadership of the Inventory Unit:
  • The Inventory and Asset Management Manager must demonstrate a strong commitment to MSIN’s mission and goals. Also, he/she must encourage a similar commitment from all team members in the unit.
  • Delegate duties to team members & ensure efficient performance.
  • Build & maintain efficient relationships with cross-functional teams to ensure smooth inventory management operations.
  • Link, train, and harmonize different departments of the organization to work efficiently together to meet inventory requirements and seamless supply chain.
  • Ensure that a high level of communication is maintained with other MSIN departments, as well as with external partners and MSI while assisting the team members in the resolution of problems relating to inventory and stocks.
  • Encourage a positive culture, work environment and attitude among all team members.
  • From time to time represent the organization at meetings, workshops, press conferences, or other forums relating to inventory and asset management.
Required Skills, Experience & Qualification

To perform this role, it is essential that you have the following experience:

  • A degree in Accounting with a minimum of 2nd class Upper division or its equivalent, and a recognized professional qualification such as ACA, or ACCA.
  • 4-5 years of post-NYSC experience in a similar role with any commercial outfit
  • Working knowledge of the insurance industry and relevant federal and state regulations
  • Excellent critical thinking and decision-making skills.
  • Good administrative and organizational skills.
  • Strong customer service skills.
  • Ability to use SUN Accounting package and other accounting packages.
  • Advance Excel skills preferred.
  • Ability to multitask, manage a workload and produce high-quality reports.
